How to use the new template
What’s changed
New templates (Excel or CSV file) for creating payment slips are available in the UBS QR portal. Download it via “Via Excel file ˃ To start ˃ Select a file”. You can identify the current version by the “V2” designation in the new file.


In addition to the new versions of the templates, a new category “UBS direct debit” has also been added.

In the QR portal and for orders via UBS Digital Invoicing, you can only use the current Excel or CSV files. Please note that the old versions of the templates are no longer valid and an error message will be displayed if used in the QR portal.

Depending on the UBS invoicing solution for which the template is used, the Excel template must be filled out differently. The structure of the columns, however, always remains the same. The following extensions have been made to the Excel structure in the new version:
- Column B “UBS invoicing solution” for clear identification of the product.
The entries depend on the downloaded Excel template::- The templates “For stock”, “In all variants” and “As a complete invoice” all have the UBS invoicing solution “UBS QR-bill”
- The template “eBill-compatible payment slips” has the UBS invoicing solution “UBS eBill invoice”
- The new template “UBS direct debit” has the UBS invoicing solution “UBS direct debit”

- Columns AF – AL are labeled as “Alternative procedure UBS direct debit” and are only to be filled in for UBS direct debit.
How to fill out the templates
- Step 1: Download the new Excel version for the desired UBS invoicing solution in the UBS QR portal using “Via Excel file ˃ To start ˃ Select a file”.

- Step 2: Fill in the Excel template from row 8 according to the labels in row 5 and the descriptions in row 6.

Note: Only one UBS invoicing solution may be used per Excel/CSV file.

How the transition to the new Excel version works
If you want to reuse the data from your old Excel template, please proceed as follows:
- Step 1: Download the new Excel version for the desired UBS invoicing solution in the UBS QR portal using “Via Excel file ˃ To start ˃ Select a file”.
- Step 2: Copy the data from the old Excel template from columns B – AD starting at row 8 and place the cursor in cell C8 in the new Excel template and paste the copied data.
- Step 3: Copy the data from the old Excel template from columns AE - BI starting from row 8, place the cursor in the new Excel template on cell AM8 and paste the copied data.
- Step 4: Always fill column B from row 9 with the UBS invoicing solution from cell B8. Only one UBS invoicing solution may be used per Excel/CSV file.
